Service Department Information System
Kevin James Ltd is proud to announce the 2009 release of SDIS, the most unique tool available for improving the operation of any service department.
Read what our customers have said about SDIS
SDIS has been designed to display the most relevant information to each aspect of the service department. It is a feature rich client/server application that provides customised modules to help streamline your business processes, allowing your service department to function in harmony.
Whether you run a small workshop with just two ramps or a large multi-franchise operation with a large turnover of vehicles, your service department can be up and running efficiently within hours!
Personalised Views - screen shot
SDIS presents jobs in three different ways:
- Controller View: The department's controller needs to see a live snapshot of all outstanding work at any time in the day, therefore jobs drop off the controller's view as they are completed.
- Receptionist View: Receptionists see both complete and incomplete jobs, but jobs marked 'collected' are hidden, focusing their attention away from the physical work being done on the vehicle and towards dealing with customers.
- PDI View: This allows PDI jobs to be controlled separately from servicing work.
Integrating with your existing 'Dealer Management System' (DMS) - screen shot
SDIS is capable of importing data from any DMS system, removing the need for any double-keying. It acts as an organisational tool that uses the data already stored in your DMS system to its full potential.
Electronic Job Cards - screen shotSDIS has a feature-rich interface which is very easy to use but at the same time powerful. It uses one main screen to present all job details, which removes the need for paper job-cards and eliminates the risk of losing a job!
Technician's Work Displayed in Real Time - screen shotSDIS can attach details of the technicians work to a job record, allowing the Workshop Controller and Service Manager to track technicians sold hours against their attended hours. Our 'SDIS Viewer' mode also allows technicians to view their own hours and targets on a workshop PC. It is also possible for technicians to check when their colleagues are absent.
Customer Communication - screen shotSDIS has the ability to SMS customers to advise them about servicing work or notify them that their vehicle is ready for collection. The system stores 'Default Messages' to make this process as simple as possible and uses an intelligent mechanism for tracing the status of any SMS message. SDIS also attaches messages to each job so all contact with the customer can be fully traced.
Job Analysis and System Tools - screen shotSDIS boasts many features that help your service department achieve manufacturer's guidelines. These include:
- ViewPoint Control: A system for recording customer feedback by storing a score and comment for every 'ViewPoint' customer. There is also a 'ViewPoint' management module for making use of the customer's feedback.
- No-Show Management: A module that encourages analysis of why a vehicle may not have been brought for their booking.
- Vehicle Health-Check (VHC): SDIS allows the user to specify a follow-up date for identified VHC work-items; therefore this module allows the user to display jobs that require follow-up within a specified time-frame. This is to be used by receptionists to generate additional bookings.
- Multi-Send SMS: SDIS can either send single SMS messages, or it can send a batch message to multiple customers (i.e. This is reminder that your vehicle is booked for service tomorrow)
- Confirm Vehicle Arrival (PDI): This module allows the user identify vehicles that have arrived for pre-delivery inspection by creating a PDI job for each arrival. The progress of the inspection and the availability for collection can then be easily tracked.
- Reporting: The SDIS reporting module allows for reports to be run quickly and easily. There are a number of pre-defined reports, as well as the option for customised reports if required.
VHC's can often become the last priority of a busy service department, so SDIS now provides a simple and organised method for completing a VHC for required jobs! SDIS breaks the VHC process down into the following:
- VHC for Technicians: Technicians can use PC's or Laptops to begin VHC's and enter their recommendations for any necessary work. They then simply submit the VHC to the parts department and continue servicing work.
- VHC for Parts: The parts department receive the recommendations from the technicians and simply attach part numbers to the relevant work-items. All product information is automatically retrieved. When all parts and quantities have been identified, the VHC is submitted for pricing.
- VHC for Service Advisors: The service advisor will first see a VHC with all recommendations and identified parts displayed. They should then contact the customer to get authority for work and finalise pricing details. They also specify follow-up of unauthorised items at this stage. Once this is agreed, the VHC is marked as 'Approved' and the parts information is fed back to the technician for fitting. The VHC is then marked as complete.
SDIS offers the ability to silently record all actions performed by each user. Events are attached to each job (if applicable), which allows the system controller to track all activity on both the system as a whole or for a specific job.
Improved Security and System LogsThe all new SDIS user-control mechanism offers a much higher level of data security and offers fully customisable user access. All actions performed by a user are recorded and SDIS also fully records all system errors and imports for peace of mind.
